Things to note and what we need from you

If you have not already sent back your information sheet, please do so by 20th December 2024. Please note, if this information is received after this date, SPD cannot guarantee that it will be included in publicity and event materials. 

Morning refreshments will be provided for you at approximately 09.30 and will be served in the exhibition room. 

Lunch will also be provided. We cater for vegetarians but please let us know if you have any other dietary requirements.

Operating Theatres 2023

Set Up

You are able to set up your stand at the stadium the night before the conference (Wednesday 5th February), between 18.30 - 22.30. Please notify us of an approximate time of arrival.

If you are unable to attend the 18.30 –22.00 set up slot on Wednesday 5th February, the only alternative set up time will be between 07.30 - 08.15 on the morning of the event. Please note that the exhibition hall will be opening from 08.15 and therefore all stands must be ready by this point.

See the Deliveries section for further information regarding any delivered goods.

If you have set up your stand on Wednesday 5th February, please arrive from 07.30 to ensure you are prepared for delegate arrival.

Exhibition

The exhibition is taking place in the City Suite on the lower second floor. The room itself is an open, tabletop layout and your stand will be in the Barton & Cadishead Lounge. 

A 6ft trestle table and two chairs will be available to each exhibitor in a 3x2m space. If your equipment will exceed this measurement, please contact the event manager, if you have not done so already. 

If you have a page advert for the delegate brochure as part of your package, please send this over to us by 20th December 2024. Please note that if we do not receive this information by this date, we may not be able to include this information in the delegate packs. 

Power sockets are available on request via your exhibition information sheet.

Wi-Fi will be available on the day. You will be able to register for access upon arrival.

Banners and chair drops are only permitted as an agreed part of your sponsorship package.

You are welcome to attend the conference sessions throughout the day, if you wish.

Floor Plan

The floor plan will be distributed two weeks before the conference.  

Prime spaces are allocated to main sponsors as a priority, but we will endeavor to accommodate requests on a case-by-case basis. Please contact your event manager for further information.

It is a legal requirement that you supply us with the relevant risk assessment documentation.

Please therefore complete the risk assessment document that can be found here. Please send this back to your event manager two weeks prior to the event.

An exhibitor is liable to heavy fines, prosecution and even imprisonment should it be found to be negligent in the event of an accident to its staff and/ or visitors, if suitable safety control measures are not in place.

Deliveries

Please note the following lift measurements at the stadium.

Max. Weight: 1000kgs

The above measurements are the same for both the passenger lifts and the goods lift. If you are bringing heavy goods items, please ensure you use the goods lift.

Please be aware that any deliveries must be delivered the day prior to the event (Wednesday 5th February) between 9am – 10pm. All packages must be labelled as below:

Post Event

If you wish to arrange for collection of any goods after the event, this must be arranged for the same day as the event (Thursday 6th February) and must be packaged and labelled before leaving site as the venue does not offer these services.

Salford Professional Development or AJ Bell Stadium will not take any responsibility for your boxes being collected by a courier.

Travel Information

The stadium is located on the edge of Salford on Stadium Way. Access to the stadium is off the M60 and Liverpool Road.  Please click here for directions.

Complimentary on-site parking is available at the venue for all conference exhibitors and attendees.

The recommended route to take is the 67-bus route to Barton Aerodrome, Liverpool Road / outside Barton Aerodrome. These buses run from Manchester City Centre and Eccles. The alternative bus route is the 100, to Irlam, Liverpool Road / near Addison Road.

By Metrolink/ Tram

The nearest Metrolink tram stop is The Trafford Centre. From here, the stadium is approximately 40 minutes’ walk or a short taxi journey away.

The nearest Railway Station is Patricroft. Patricroft Station is approximately 1.8 miles from the stadium. The nearest station with step free access is Urmston Station, approximately 2.9 miles from the stadium.

How to make the most of your day

Arrive in plenty of time - our staff will be on hand from 07.30 to help you set up and answer any final questions. The earlier you arrive the better prepared you are to catch the delegates as they enter the exhibition area.

Delegate Data & QR Code

Please note that we do not provide delegate data to third parties. Each delegate will have a unique QR code on their name badge, containing their contact information, therefore you must obtain their permission before scanning their unique code. If permission is granted, you may scan the QR code using your device- phone/iPad, Android/iOS.

To enable you to scan the QR codes of delegates, you must first download a QR scanner app to your mobile device. Some devices allow you to scan QR codes directly through the phone’s camera application.

You may click the iOS or GooglePlay button below to redirect to a relevant app store page in order to download a popular QR scanner for your device.

 

How to scan a QR code:

1. Open the app, and hold the camera up to the code, it should log it straight away. When finished, there is no need to save anything, it will store in the history automatically.

2. Repeat 1 as necessary to scan badges of delegates.

3. Once all delegates are scanned, click the History button in the bottom left corner.

4. You then need to email the data to yourself.

5. The email will contain text of all the information you need. Copy and paste it into an excel spreadsheet.

6. Your delegate data will then be complete. The phone numbers may go into a strange format such as: ‘1.4E+09’. You are able to correct this by resizing the cell.

Please refer to your sponsorship agreement for details of the package you have purchased.

A standard package includes:

  • Refreshments – morning pastries and lunch
  • Access to Wi-Fi
  • 1 x Power socket (if requested)
  • 1 x Table (tablecloths supplied at the venue)
  • 2 x Chairs
  • Space approx. 3m x 2m (please note this is an open space not a shell scheme)

If you have any specific requirements these must be included in the Exhibitor Information Sheet. Alternatively, please contact your event manager.

Additional equipment cannot be supplied by SPD but your event lead can supply you with a preferred suppliers list from the venue so you can arrange this directly.
